HAIL Partners are working exclusively with a global investment firm who are seeking an Office Manager based in stunning office in the city. They have multiple global offices, with London being their largest. It's one of those rare places where everyone genuinely knows each other by name, people are trusted to get on with their work, and the office is empty by 6pm

About the Role

This is a permanent, fully office based role (5 days, 9–6) sitting within a small but close knit support team. You'll be the person who keeps the London office running smoothly day to day - no two days are the same and you'll really own your remit end to end. The role will be responsible for the day-to-day running of the office, as well as support on firm wide initiatives.

  • Health, Safety & Fire, Policies

  • Vendor Management and Relationships

  • Assist IT on issuing equipment

  • Assist with organising Office Events as required

  • Team player, proactive; happy to meet and greet guests, answer phones, collect post, set up meeting rooms as and when required

  • Running policy review processes

  • Coordinate with committee members on meeting organisation and documentation, maintain internal policy portal

  • Fund Info - help maintain fund data in the internal database fund info in coordination with Finance, Legal, and Compliance

  • Ad Hoc - assist with other ad hoc administrative tasks for Ops, such as KYC/AML requests, counterparty data requests, coordination with external boards and fund directors, document management, etc.

Requirements

  • 5+ years experience as an Office Manager in financial and/or professional services

  • Takes genuine pride in their work, with a "no task too big or too small" mentality and a willingness to roll up their sleeves and get hands-on

  • Confident and professional, but not above the detail. Happy to personally pick something up, sort an issue, or handle admin directly rather than delegating or escalating

  • Strong critical thinker who can assess situations objectively

  • Demonstrates clear ownership and initiative - able to think independently and act without needing layers of sign-off.

  • Nice to have: Experience in a large, complex building environment (e.g. a big skyscraper/campus) -understands building security, multi-tenant operations, and coordinating with on-site teams.
